Business process automation with n8n and Make

  • n8n and Make automation

Automation connects your applications so that repetitive tasks run on their own: an incoming request becomes a CRM record, an invoice received by email is read and prepared for accounting, a report goes out every Monday. ITEmpire Group builds these workflows with n8n, Make and APIs, and adds AI where it brings real value.

The problems we solve

  • Data copied by hand from one tool to another, with errors and omissions.
  • Customer requests left waiting because nobody has seen or sorted them.
  • Documents (invoices, purchase orders, forms) keyed in by hand.
  • Reports prepared every week in a spreadsheet, always late.
  • Tools that do not talk to each other: website, CRM, ERP, messaging, accounting.

What we automate

  • Request handling: forms, emails and messages sorted, qualified and passed to the right person.
  • Data synchronisation between CRM, ERP, online shop, spreadsheets and internal tools.
  • Documents: reading scanned files (OCR), extracting fields, checking then saving.
  • Reports: collecting figures, summarising them and sending them automatically to the teams concerned.
  • Sales and marketing workflows: follow-ups, lead tracking, internal notifications.
  • Emails and tickets: sorting, a draft reply suggested by AI, approval by a team member.
  • Language models (LLMs) built into the steps that require understanding or writing text.

Three practical workflows

Qualified incoming request
  1. TriggerWebsite form or WhatsApp message
  2. ProcessingClean-up and lookup of the existing contact
  3. AI agentSummary of the request and estimate of the need
  4. ValidationApproval by a sales rep if the amount is high
  5. ActionRecord created in the CRM and reply sent
  6. Follow-upFollow-up scheduled if no reply within 3 days
Supplier invoices
  1. TriggerInvoice received by email
  2. ProcessingReading the PDF or the scan (OCR)
  3. AI agentExtraction of the supplier, amounts and dates
  4. ValidationDiscrepancies checked by accounting
  5. ActionEntry prepared in the ERP
  6. Follow-upLog of processed and rejected invoices
Weekly report
  1. TriggerEvery Monday at 8 am
  2. ProcessingCollection of sales, requests and tickets
  3. AI agentSummary of trends and points of attention
  4. ValidationOptional review by the manager
  5. ActionSent by email or to the team’s messaging app
  6. Follow-upReport history kept

Tools and integrations

  • n8n, hosted on your premises or in the cloud, for complex workflows and sensitive data.
  • Make for visual scenarios that are quick to set up and to evolve.
  • REST APIs and webhooks to connect your software, including custom-built software.
  • CRM, ERP, e-commerce, Google Workspace, Microsoft 365 and business messaging tools, depending on the available connectors.
  • WhatsApp Business, through the official API and with a verified account.
  • MCP (Model Context Protocol) to give an AI agent controlled access to your tools, where they support it.

To choose the tool, read our comparison Make, n8n or Zapier (in French).

Reliability and control

  • Human approval before sensitive actions: payment, sending to a customer, deleting data.
  • Logging of every run, to know what was done, when and why.
  • Error handling: retries, alerts and a queue of cases to handle manually.
  • Protected secrets: API keys stored on the server, permissions limited to what is strictly needed.

Our approach

  1. AssessmentThe repetitive tasks, their frequency, the tools involved and the expected gains.
  2. DesignThe workflow, the data exchanged, the approval points and the error cases.
  3. PrototypeA first workflow tested on real data with your team.
  4. Go-liveHosting, monitoring, alerts and documentation.
  5. Follow-upAdjustments, new workflows and connector maintenance.

Costs and timelines

The budget depends on the number of workflows and applications to connect, the availability of their APIs, the volume processed, the share of AI and the hosting (self-hosted n8n or the cloud plans of n8n and Make). Tool and AI model subscriptions remain at your expense and are estimated before launch. Every project is quoted.

Frequently asked questions

Which tasks can be automated with n8n or Make?

Repetitive, rule-based tasks: copying data between applications, sorting requests, processing documents, sending notifications or reports. AI makes it possible to add steps that require understanding or writing text.

Should I choose n8n or Make?

Make is quick to set up for visual scenarios; n8n suits complex workflows and can be hosted on your premises, which helps with sensitive data. We recommend the tool based on your volumes, your data and your team.

Does my software need an API?

It is preferable. Without an API, other routes sometimes exist (file exports, email, database); we check feasibility during the assessment.

What happens if a workflow fails?

The error is logged, the workflow retries when it is safe to do so, and an alert notifies your team. Unresolved cases stay in a queue to be handled manually.

How much does an automation cost?

It is priced on quote, depending on the number of workflows, connected tools, volume and the share of AI. Tool and model subscriptions are estimated before launch.
